Based in Gerrards Cross, Buckinghamshire, we are continuing to grow and are now seeking an experienced, highly organised administrative professional to support our operations and help us deliver an efficient, client-focused service.
Role Overview
We are seeking a proactive, detail-oriented Office Administrator to join our close-knit team. Working under our Operations Manager, you will provide essential administrative support across the business.
The role includes maintaining accurate documentation, updating spreadsheets and trackers, supporting materials and invoice logging, assisting with O&M documentation, and providing administrative support for ISO and accreditation requirements.
This is a fast-paced position that requires strong data-entry skills, excellent organisation, and the ability to manage multiple tasks within a busy construction-services environment.
Key Responsibilities

Manage materials and supplier invoices: track daily materials orders, log invoices and credits, and maintain the materials tracker.

Maintain document control, ensuring all company documents, spreadsheets and trackers are updated, version-controlled, and stored correctly in line with ISO requirements.

Assist with ISO 9001 and ISO 14001 administration, including maintaining records, supporting audits, and ensuring documentation accuracy.

Provide day-to-day administrative support across all departments, including Projects, Small Works, Maintenance, and Testing.

Support preparation of company documentation including quotes, reports, O&M manuals, and project files.

Collate data and update spreadsheets and trackers daily (strong Excel skills essential).

Assist with Health & Safety administration, including scheduling staff training, updating training records, and supporting RAMS and toolbox talk distribution.

Monitor and respond to administrative emails, ensuring clear and timely communication with clients, engineers, suppliers, and colleagues.

Answer incoming calls and provide polite, friendly customer service.

Maintain office supplies, keep the office organised, and support general office upkeep.

Support ad-hoc administrative tasks as required — adaptability and proactive problem-solving are essential.
Required Skills & Experience

Proven experience in a construction-related administrative or office role (or similar administrative background).

Excellent proficiency in Microsoft Excel and Word; strong overall computer literacy.

Exceptional organisational skills with high attention to detail — this role involves significant data entry and tracking.

Strong interpersonal and communication skills; able to interact professionally with site engineers, clients, and colleagues.

Self-motivated, proactive, with a positive “can-do” attitude and willingness to contribute beyond basic tasks.

Able to follow instructions accurately and work independently when required.

Experience with invoice administration or bookkeeping support is desirable (but not essential).
